We are excited to have you participate in the SIXTH Annual Napa Valley Bridal Show, to be held at the Meritage Resort at Napa on Sunday, February 21st, 2010.
The event will begin at 11:00 am and end at 4:00 pm. This is an exciting opportunity for local wedding professionals to exhibit their talents to brides, grooms and their friends and families.
You will have the opportunity to speak directly to potential customers and showcase your products or services.
The 2010 Napa Valley Bridal Show will be promoted via:
q January and February 2010 issues of the Napa Valley and Contra Costa County Marketplace,
Circulation of 85,000 homes plus businesses;
q Display ads in all area newspapers in January and February;
q Direct marketing to prospective engaged couples;
q Publicity releases to all area media, newspapers & radio stations;
q Posters and flyers to be distributed by local businesses;
q Extensive internet exposure;

As a participant, your exhibitor fee includes:
q One 8’ X 10’ booth space with a 6’ skirted table. Linens are included.
(All booths will be assigned on a first-come/ first-served basis.)
q A list of all brides who registered at the event, including their wedding date, e-mail contact and address for use in direct mail campaigns.

Exhibitors may also

responsible for the distribution of their own door prizes. Registered Brides
and Grooms will be identified with name badges.

RULES AND REGULATIONS REGARDING EXHIBITS
1. The Exhibitor shall not assign or sublet said space or any part thereof, without the duly signed consent of NVBS (Napa Valley Bridal Show) management. THIS INCLUDES DISPLAYING ANY FLYERS, BROCHURES, SIGNAGE OR BUSINESS CARDS OF A DIFFERENT BUSINESS OTHER THAN THAT SHOWN ON THE CONTRACT.
2. The Exhibitor agrees to indemnify and save harmless, the event, their producer, management and its employees from any and all claims, causes of action and suits accruing or resulting from any damage, injury or loss to any persons, including but not limited to persons to whom the Exhibitor may be liable under any Workers Compensation Law, and the Exhibitor themselves from any loss, damage, cause of action, claims or suits for damages or merchandise, caused by arising out of or in any way connected with the exercise by the Exhibitor privileges granted herein.
3. Should Exhibitor’s display and/or materials fail to arrive, Exhibitor is nevertheless responsible for the rental and payment of his/her exhibit space
4. Exhibitor will not be permitted to participate in scheduled event without payment in full prior to the beginning of the event. NVBS reserves the right to reassign booth if full payment is not received seven days prior to the event set-up date.
5. If NVBS management should be prevented from holding the exhibition by any cause beyond its control, or if it cannot permit the Exhibitor to occupy space due to causes beyond its control, NVBS management reserves the right to alter location, and/or date of the event with reasonable notice to exhibitors. NVBS has the right to cancel the exhibit with no further liability than a refund of the booth space, less a proportionate share of the exhibition expenses.
6. Exhibitors are solely responsible for any loss of equipment, and/or display material resulting from theft or misplacement.
7. NVBS management reserves the right to select event layout and booth locations. NVBS reserves the right to reassign an Exhibitor’s booth location if deemed
necessary. A general admission payable to NVBS may be charged to the public at management’s discretion.
8. NVBS reserves the right to accept or reject all contracts submitted for booth space. It is the intention of NVBS management to not have more than four (4) different exhibitors in the same category; however NVBS management can vary from that policy if there is space available. The Exhibitor agrees that the NVBS management has the full power to interpret and enforce all rules and regulations in the best interest of the event.
9. Insurance-Exhibitors desiring insurance on their exhibits must place same at their own expense. NVBS management will not be responsible for the safety of exhibits against fire, robbery, accident, or any other destructive cause, or for any injury that may arise to the public leased area or to the Exhibitor’s or their employees while on the event grounds.
10. NVBS management shall have the exclusive right to use Exhibitor’s name, photograph and/or logos for promotional purposes with NVBS “Wedding Faire” events.
11. NVBS management reserves the right to alter the nature of promotional support to meet the needs of a specific event and the market in which the event takes place. Any additions and/or elimination of promotional activities shall be at the discretion of NVBS management.
1. Exhibit Height should not in any way block air and/or light flow; any exhibit over 8’ high must be approved by NVBS management.
2. All aisles must be kept clear within boundaries set up by local fire codes and NVBS management.
3. Side dividers of booths may extend up to 8 feet high, but no more than 2 feet out from back of booth.
